These guides have been prepared over time from suggestions sent to us by volunteer event organisers.
Please use all of our resources as a guide only, and modify them for your own circumstances. Fetes and Festivals takes no responsibility for any errors or omissions contained within.

To Do List:
- Prior to first meeting and before all subsequent meetings, email all convenors and ask if they have any items to add to the agenda
- Take notes at meetings and distribute them accordingly
- Notify Fete Committee members of meetings
- Print Stationery List for all convenors to hand out at the Fete meeting
- Collate all Stationery Lists for Convenors and fill out Stationery Order Form, buy all requested items and distribute them to the convenors
- Liaise with Sponsorship Convenor to see who is supporting the Fete so you know who to send Thank You Letters and Certificates of Appreciation to (you could choose to do this as soon as money or goods are received)
- Keep receipts for expense claims for goods purchased for the stall, fill out the Purchase Approval/Expense Claim Form and give to the Treasurer so they can reimburse you
Wrap Up:
- Write the thank you letters and fill out certificates of appreciation
- Post/deliver the thank you letters and certificates if you haven’t already done this
- After the Fete, don’t forget to prepare handover notes – download template below
