> Here are some things you might need to know about being a treasurer

These guides have been prepared over time from suggestions sent to us by volunteer event organisers.

Please use all of our resources as a guide only, and modify them for your own circumstances.  Fetes and Festivals takes no responsibility for any errors or omissions contained within.

To Do List:

  • Fill out the Stationery List for Convenors and give it to the Secretary
  • Give Float Option Request Letter to stall convenors and collect them once they have filled them out
  • Post/email sponsorship invoices and receipts
  • Post/email outside stall holder invoices and receipts
  • Retrieve expense claims from stall holders
  • Process expense claim forms and reimburse stall holders
  • Work out how much money is required for the floats and have two for each stall
  • Liaise with bank for float money and fill out Stall Float Notices
  • With another person, count each stall’s float and place into separate bags with their Stall Float Notice
  • Organise suitable time for convenors to collect their money
  • Make sure the treasury room is secure and lockable with security personnel at the door
  • Recruit collectors and fill out the Volunteer Roster
  • Arrange collectors and makes sure they have identifiable shirts, badges and walkie talkies
  • Establish money counting procedures
  • Keep receipts for expense claims for goods purchased for the Fete, fill out the Purchase Approval/Expense Claim Form
  • Bank and record all raffle money before Fete Day
  • Record all income on the Income Record Form
  • Record all expenses on the Expenses Record Form
  • Fill out the Summary of Income & Expenses spreadsheet
  • Each time money is collected from a stall, enter amounts and details into the Treasury Summary of Cash Movements
  • Organise money counters and train them
  • Pay accounts with hire companies
  • Provide a final financial report
